Managing Employees
The Employee Management feature allows you to track which employees have custody of your assets. This feature requires a Premium+ tier subscription.
Adding Employees
To add an employee:
- Navigate to Employees in the main menu
- Click Add Employee
- Enter employee details including name, email, phone, and department
- Optionally add employee ID, job title, and hire date
- Click Save
Assigning Assets to Employees
Assets can be assigned to employees in two ways:
- From the Asset: Edit an asset and select an employee in the "Assigned To" field
- From the Employee: View an employee and use the "Assign Asset" button
Employee Documents
Store important employee documents such as:
- Equipment acknowledgment forms
- Training certifications
- Signed custody agreements
- ID copies and licenses
Employee Status
Employees have the following statuses:
- Active: Currently employed and can have assets assigned
- On Leave: Temporarily away from work (vacation, sick leave, etc.)
- Inactive: Discretionary status for employees on an extended or unknown period of absence
- Terminated: Employment has ended and assets should be recovered
Asset Recovery and Offboarding
When an employee leaves the organization:
- Navigate to the employee's profile
- Click Start Asset Recovery
- Review all assets currently assigned to the employee
- Mark each asset as recovered, noting its condition
- Complete the recovery session once all assets are accounted for
- Update the employee status to Terminated
This creates an auditable record of asset recovery during offboarding.
